A customer asks for three quantities and two finishes. Your estimator copies an old workbook, checks a supplier email and retypes the result into a quote. A revision arrives later, but the works order still carries the first specification. A shared quote record gives those changes somewhere to live.

Use the rates, allowances and quantity rules you have agreed. Record where each rate came from and flag items that need a fresh supplier price.

Show the estimator the calculation, exclusions and margin. Technical feasibility and unusual jobs stay with a named person.

Save the approved quote and its revision. A changed quantity or specification creates a visible change for review rather than overwriting what the customer saw.

Create the agreed job sheet or supported ERP handoff from the accepted version. Keep a link back to the quote and any customer conditions.

Where reliable actual costs are available, compare them with the estimate. Someone approves rate changes before they affect the next quote.
Illustrative workflow: a fabricator quotes 10, 25 and 50 brackets. Material and bought-out finishing rates have named sources; setup is shown separately. The estimator checks the process and margin. When the customer accepts 25 with a different finish, a reviewed revision becomes the job record. The system does not treat the original acceptance as approval of the changed work.
We check your Excel costing sheets, ERP or MRP, CRM and accounts workflow before proposing a replacement. Sage or another accounts package may only need the accepted customer and invoice details. A connection depends on your version, licence and supported interface; it is checked in the scope.
AI can help with extracting or finding information where it earns its place. Records, calculations and approval rules use ordinary software where that is the dependable choice.
Start with one repeatable product or job family, one approved rate source and one quote format. We agree sample calculations and awkward cases with your estimator before building. A full costing engine, historical data cleanup and multiple ERP connections are separately scoped.

Useful when repeatable costing rules exist but staff repeatedly copy them between spreadsheets, quotes and job sheets. Bespoke software makes more sense when the differences in your work matter commercially.
If an existing quoting package already models your work, configure that first. If nobody agrees how to cost the job, software cannot settle the disagreement: establish the rate rules before commissioning a build.
